Player Fee Increase and Volunteer Membership Program Information

Here we aim to provide the information you need and answers to the questions you have about changes for the Membership Year 2019-20, as you prepare to welcome players and volunteers to register for another season of AYSO Soccer!

Player Fee Increase

At the June 2018 National Annual General Meeting, AYSO Membership voted on an increase in player fees, from $17.50 per player to $20.  This is the first such increase since 2013, so be sure to account for the new amount in your MY20 budgeting and plans.

Volunteer Membership Program

The Volunteer Membership Program was voted on by the National Board of Directors in the fall of 2017 and has gone into effect with the launch of MY2019. In keeping with our heritage of being a leader in child safety and to maintain safety as our highest priority, this program upgrades our background checks to what is known as “Level 2”, which is a deeper check. This upgrade has increased the costs of our background checks; to cover the costs of the program, the Volunteer Membership fee is $25 per volunteer. One of the benefits of this membership program is that AYSOU training and downloadable eBooks are now included at no additional cost.

This increase in volunteer screening is consistent with the trend in youth sports and other activities in general; it is not unique to AYSO.

What is unique to AYSO is, the local programs have a say in how this gets deployed.  Region leadership has the power to decide how you would like to manage this in your own program:

  • You can pass this cost directly on to your volunteers, or
  • You can subsidize them by including it in your Player Fees.

We strongly encourage you to attend a webinar and review the material provided.  It’s important that you have a good understanding of how this works so that you can be helpful to your volunteers, and can subsequently answer their questions.

Wells One Purchase Card

If your Region has chosen to cover the background check cost of your volunteers (vs. having them pay as individuals), you will need to make sure you have a Wells One purchase card. If you have not done so, you’ll want to apply for the card now, as there is a 3 – 5 week processing time and you’ll want this feature available to you when you start signing up your volunteers for the coming season.

Without the card, volunteers will need to provide their own payment information and you’ll end up having to reimburse your volunteers individually.  

Even if you’re not 100% certain that your Region will be covering the cost, or you have some questions you need answered, please take this opportunity to apply for the card today. Regions may still sign-up for the card but should note that you will not be able to turn on payment for volunteer sign-ups until you receive the card.

The benefits of the Wells One Purchase Card:

  • A personal credit check is NOT required
  • Online access with NAP Codes: expenses loaded directly from Wells Fargo monthly to NAP online. No hard copy statements or login to WF is necessary
  • No transaction fees: this is a no-fee debit card, not a credit card.
  • No bills – the ACH withdrawal is deducted directly from your Region bank account
  • Region name on card: can pass it down when position is up

Similar to the AMEX program, the commercial card can be used to pay for:

  • AYSO Membership fees: Blue Sombrero
  • Volunteer Membership Program ($25) – if the Region decides to pay for the volunteers
  • AYSO EXPO Registration and NAGM (should not be used for travel and food expenses)

How to get started:

Fill out and submit the attached Wells Fargo Commercial Card agreement with your signature to commercialcard@ayso.org and provide the following banking information in the email:

  •  Bank name:
  •  Routing number:
  •  Account number
  •  Bank Address (Address, City, State, Zip Code):

Please note that the card will take 3-4 weeks to be processed and mailed to you. Submissions MUST be made by the Regional Commissioner.

Once you get your card:

If you already have your card, you are just one easy click away from making your system live to pay for your volunteers, once the program launches on Tuesday, May 21, 2019 at 4am (ET).

Below we have highlighted where you need to click to turn the payment option on.

  • Sign into your BSB site
  • Click on “Common” on the top banner to access your Site Settings
  • Click the drop-down tab titled “AYSO Volunteer Membership Program”
  • Click the “Region to pay Volunteer Membership Program” box as seen below and hit update
  • You are all good to go!

To add to the current WF Card info

  • AYSO will send Verified Volunteers the card info
  • AYSO will let Blue Sombrero know you have the card

We have not had a player fee increase since 2013 and with player counts decreasing for the better part of five years, we needed to plan to make other arrangements in order to keep the organization successful as we look towards the future to grow the program.

Volunteer Membership Program

If the volunteer does not check the ‘I have a conviction’ disclosure box and comes back with a clear check (vast majority of the volunteers), then it’s an automated process and takes a day or two.  If the volunteer did check the prior conviction box and/or comes back with a non-clear check, it is then a manual adjudication from our CVPA team (This may take a week or longer to process)

Yes, once the background check is complete the results will automatically update.

Bear in mind, a level 2 check does take a little longer, so it may be a day or two.

No, they will be grandfathered in fro MY2019.

Please note that the card request MUST be made by the Regional Commissioner. This task should not be delegated to your treasurer or other region officials.

Except for a few cards, most Wells One Purchase cards were processed under the name ‘Region #.’ The address used for the cards is the AYSO Office address in Torrance, CA.

We will use Region 9695 to show the fields needed to process a payment.

These are the fields and format needed to make payments using your purchase card:

  • First Name: Region
  • Last Name: 9695
  • Address 1: 19750 S. Vermont Ave
  • Address 2: Suite 200
  • City, State, Zip: Torrance, CA 90502

At the moment you can only use the Wells One Purchase card to pay for the Volunteer Membership Program Fee and the National Player Fee for players in Blue Sombrero.

When the Wells One Purchase Card is received at the AYSO office, we send the card information to Verified Volunteers, who is the company processing our background checks. The Region does not have to worry about entering credit card information if they decide to pay for the volunteers.

All the region has to do if they decide to pay for the volunteers is click on the button in your account settings to turn on the payment. This button is currently not available until we launch the Volunteer Membership Program. More communication and instructions on how to turn on the button to pay for volunteers will be sent out in the upcoming weeks.

Yes, the fee is only assessed once.

Yes, this is a yearly fee.

Yes, we are working with our vendor to see if this is possible.

No, it will be the same information.

We have negotiated a reduced fee for the organization.

We explored that idea, however, corporate sponsors are not a reliable source of revenue because of contract terms and sustainability.

We don’t run background checks on youth under age 18.
